Information We Collect
FlashCloud collects several categories of information in the course of providing our services and operating our business. When you create an account, place an order, or otherwise interact with us directly, you voluntarily provide certain information. This includes your account information such as your first and last name, email address, phone number, billing address, payment information including credit card or PayPal details, company name if applicable, and tax identification numbers where required. We also collect service-related information including domain registration information as required by ICANN, technical support requests and the communications associated with them, live chat transcripts, responses to surveys we may conduct, and any feedback or reviews you provide. In some cases, we may require identity verification documents such as government-issued identification, business registration documents, or authorization letters to verify your identity or your authority to act on behalf of an organization. When you access our website or use our services, we automatically collect certain information about your device, browser, and usage patterns. This includes device and browser information such as your IP address, browser type and version, operating system, device type and identifiers, and screen resolution. We collect usage information including which pages you visit, which features you use, the time and date of your visits, the website that referred you to us, the patterns of your clicks and navigation through our site, and any search queries you enter on our website. We also collect technical information from server logs, error reports, and performance monitoring systems. We may receive information about you from third parties in connection with our services. This includes information from payment processors about your transactions and fraud prevention data, information from domain registries and registrars about WHOIS data and domain transfers, information from marketing partners about advertising campaign performance, information from social media platforms if you connect social accounts to our services, information from credit reporting agencies for fraud prevention purposes, and information from public databases that we use for verification purposes. When you use our hosting services, you may upload, store, or transmit data through our servers. We refer to this as Customer Data, and we process it only as a data processor on your behalf in accordance with our Data Processing Agreement. It is important to understand that FlashCloud does not access, review, or use Customer Data except as necessary to provide our services, to comply with applicable law, or as specifically directed by you.
How We Use Your Information
FlashCloud uses the information we collect for various purposes essential to providing our services and operating our business. We use your information to provide you with the services you have requested. This includes creating and managing your account, processing payments and managing billing, provisioning and maintaining your hosting services, registering and managing domain names on your behalf, providing technical support when you need assistance, sending you service-related communications about your account and services, and verifying your identity when required for security or compliance purposes. We use information to improve our services and develop new features. This includes analyzing usage patterns and trends to understand how our services are used, developing new features and services based on customer needs, improving website functionality and user experience, conducting research and analytics to inform our business decisions, and testing and troubleshooting our systems to ensure they function properly. We use your information to communicate with you about your account, our services, and matters that may interest you. This includes sending account notifications and security alerts, providing customer support in response to your inquiries, sending marketing communications when you have given us permission to do so, notifying you of changes to our policies and terms, and responding to questions and comments you submit to us. We use information for security and fraud prevention purposes. This includes detecting and preventing fraudulent activity and abuse of our services, protecting against security threats to our infrastructure and your data, enforcing our Terms of Service and other policies, complying with legal obligations related to security and fraud prevention, and investigating potential violations of our policies or applicable law. We use information for legal compliance purposes. This includes complying with applicable laws and regulations in the jurisdictions where we operate, responding to lawful requests from government authorities including subpoenas, warrants, and court orders, protecting our legal rights in disputes and legal proceedings, and assisting law enforcement when we are legally required to do so.
Legal Basis for Processing
For individuals located in the European Economic Area and the United Kingdom, we process personal data based on several legal grounds depending on the specific purpose of the processing. When we process your information to provide our services, manage your account, handle billing and payments, and provide customer support, our legal basis is the performance of the contract between you and FlashCloud. These processing activities are necessary for us to fulfill our obligations to you under our Terms of Service. When we process your information for security and fraud prevention purposes, to analyze usage patterns and improve our services, and to provide customer support beyond our contractual obligations, our legal basis is our legitimate interests in operating a secure and effective business. We have assessed these processing activities and determined that our legitimate interests are not overridden by your rights and freedoms. When we process your information to comply with applicable laws and respond to lawful requests from government authorities, our legal basis is compliance with our legal obligations. We are required by law to engage in certain processing activities, and failure to do so could result in legal consequences for FlashCloud. When we process your information for marketing purposes, our legal basis is your consent. You may withdraw your consent at any time, and such withdrawal will not affect the lawfulness of processing that occurred before you withdrew your consent.
How We Share Your Information
FlashCloud shares your information with third parties only in specific circumstances and for specific purposes. We share information with service providers who assist us in operating our business and providing our services. These service providers include payment processors who handle your transactions, email delivery services that send communications on our behalf, customer support tool providers, analytics and monitoring services that help us understand how our services are used, cloud infrastructure providers, domain registration services, fraud prevention services, and marketing and advertising partners. All service providers are contractually obligated to protect your information and to use it only for the specific purposes for which we have engaged them. When you register a domain name through FlashCloud, we are required to share certain information with domain registries and with ICANN as required by policy. Unless you have purchased domain privacy protection, your registration information may also be published in public WHOIS databases accessible to anyone on the internet. We may disclose information when required by law or legal process. This includes situations where we must comply with applicable laws, regulations, or legal proceedings, respond to lawful requests from government authorities including law enforcement agencies, protect the rights, property, or safety of FlashCloud, our customers, or the public, and enforce our agreements and policies. If FlashCloud is involved in a merger, acquisition, sale of assets, or other business transaction, your information may be transferred as part of that transaction. In such circumstances, we will notify you of any change in ownership or use of your personal information and of any choices you may have regarding your information. We may share your information with third parties when you have given us explicit consent to do so. We may also share aggregated or de-identified data that cannot reasonably be used to identify you, as such data is not considered personal information.
Data Retention
FlashCloud retains personal information for as long as necessary to fulfill the purposes for which it was collected and to comply with our legal obligations. Account information is retained for the duration of your account plus seven years following account closure. We retain this information for this extended period to comply with legal and regulatory requirements, to resolve disputes that may arise, and to enforce our agreements. Billing records are retained for seven years after the transaction to comply with tax and financial reporting requirements. Support ticket records are retained for five years after the ticket is resolved to allow us to reference past communications if similar issues arise. Server logs are retained for ninety days for security and troubleshooting purposes. Marketing data is retained until you withdraw your consent to receive marketing communications. Domain WHOIS data is retained in accordance with ICANN requirements. When you close your account or request deletion of your data, we will delete or anonymize your personal information, except where we are required to retain it by law or for legitimate business purposes such as fraud prevention, dispute resolution, or legal compliance.
