Open the Gmail app, go to Settings → Add account → Other, and enter your full email address. When the app asks you to choose account type, pick Personal (IMAP/SMTP), then use mail.yourdomain.com for both incoming and outgoing servers. The Gmail app does not auto-detect third-party hosting, so you'll fill in the server details by hand.
Step-by-step setup
- Open the Gmail app and tap your profile icon in the top right, then Add another account.
- Choose Other from the account type list (not Google, Outlook, or Yahoo).
- Enter your full email address, e.g.
you@yourdomain.com, and tap Manual setup if it's offered. If Gmail asks straight away whether this is a Personal (IMAP) or Exchange account, choose Personal (IMAP). - Enter your password, the same one you set when the mailbox was created.
- On the incoming server screen, enter:
- Username: your full email address
- Password: your mailbox password
- Server:
mail.yourdomain.com - Port:
993
- On the outgoing server screen, enter:
- Server:
mail.yourdomain.com - Port:
465 - Security: SSL/TLS
- Require sign-in: yes, same username and password as above
- Server:
- Gmail will test the connection. If both checks pass, you'll land on account options (sync frequency, notifications). Accept the defaults unless you have a reason to change them, then finish setup.
If your domain isn't pointed at us yet
If you haven't switched nameservers yet, mail.yourdomain.com won't resolve correctly, and mail setup will fail until DNS points to Flashcloud. Full port and protocol reference, including the SMTP fallback port, is in Email server settings (IMAP and SMTP).
Common errors and fixes
"Can't sign in" or "Username or password incorrect"
Double-check you're using the full email address as the username, not just the part before the @. Passwords are case-sensitive, and autocorrect on mobile keyboards sometimes capitalizes the first letter. Retype it manually instead of pasting if you're not sure what got copied.
"Couldn't connect to server"
Usually a port or security mismatch. Confirm you entered 993 for incoming and 465 for outgoing, both set to SSL/TLS, not STARTTLS or None. If 465 is blocked on your network (some public Wi-Fi and mobile carriers do this), switch outgoing to port 587 with STARTTLS instead.
Account added, but no mail shows up
Pull down to force a manual sync first. If that doesn't help, check that sync is actually enabled for the account under Settings → [your account] → Sync Gmail. New accounts sometimes default to a limited sync window that only pulls recent messages, not the full inbox.
Managing multiple accounts
The Gmail app lets you add several accounts and switch between them from the profile icon. Each stays fully separate, so mail, contacts, and settings won't mix. If you'd rather check your mail from a browser without the app, see Accessing your email through webmail. And if you're setting up a vacation reply or acknowledgement message for this mailbox, that's covered in Setting up email autoresponders.
When to contact support
If you've matched every setting above exactly and the account still won't authenticate, open a ticket from the portal under Support → New ticket. A real person will check your account and mailbox setup, since login failures on our end can look identical to a typo on your side.
