BILLING & INVOICES

Updating your billing information

Your billing info — name, address, payment methods — lives in your account profile. Update any of it from Account → Profile or Account → Payment methods.

What's stored

Two related but separate things:

Account profile

  • Your name and contact details.
  • Billing address.
  • Tax/VAT ID (if applicable).
  • Phone number.

These appear on invoices.

Payment methods

  • Saved credit/debit cards.
  • Connected mobile wallets (Apple Pay, Google Pay).
  • Default card for auto-renewals.

Cards are stored at Stripe, not in our database.

Update your profile

  1. Sign in and go to Account → Profile.
  2. Edit:
  3. Save.

Changes apply to future invoices. Past invoices keep the info from when they were generated — that's correct accounting practice.

Update payment methods

  1. Sign in and go to Account → Payment methods.
  2. Add, remove, or update saved cards.
  3. Set a default card for auto-renewals (the card we use when invoices are due).

Add a card

  • Click Add card.
  • Enter card details — they go directly to Stripe.
  • Confirm.

Remove a card

  • Click the Remove button next to the card.
  • Confirm.

If the card you remove is your default, set another card as default first to avoid renewal failures.

Update card details

For expired cards or changed billing addresses on an existing card, the easiest path is to:

  1. Add the new card.
  2. Set it as default.
  3. Remove the old card.

Stripe doesn't directly support "edit card" for security reasons — you re-add with new details.

Tax IDs and VAT

If you're a business in a jurisdiction that requires tax IDs on invoices (EU VAT, India GST, etc.):

  1. Update your billing profile to include the tax ID.
  2. Future invoices include it.

For some jurisdictions, providing a valid VAT ID may exempt you from VAT charges (B2B). The portal handles this automatically once your VAT ID is on file.

Past invoices

Past invoices are immutable — they reflect the billing info at the time they were issued. If you need an old invoice corrected (your accountant flagged a typo, address changed mid-year):

  • Open a ticket with billing.
  • Tell us which invoice and what to correct.
  • We'll either issue a corrected invoice or a credit note as appropriate.

When billing info matters

  • Tax compliance — the address and VAT ID determine what tax we charge.
  • Card declines — a card with the wrong billing address attached can fail validation.
  • Legal entity changes — if you've moved your business between countries or legal entities, update everything to match the new entity.

For ongoing accounting cleanliness, audit your billing profile annually and update anything stale.

Multiple payment methods for different services

We don't currently support per-service payment methods (one card for hosting, a different card for domains). All renewals use your default card.

If you need separate billing for separate services, options:

  • Two Flashcloud accounts — each with its own default card. Slightly more management overhead.
  • Open a ticket with billing — we can sometimes set up custom billing arrangements for larger accounts.

"My card declined and I can't update it"

If the card on file is declining and you can't update it from the portal:

  1. Add a new card — go to Account → Payment methods and add a fresh one.
  2. Set the new card as default.
  3. Remove the old declining card.
  4. Retry the failed invoice — go to Billing, find the unpaid invoice, click Pay.

The retry uses the new default card.

Power-user note

For corporate accounts that need multiple billing entities (different tax IDs, different addresses for different services), the cleanest setup is one Flashcloud account per entity. We can help split an existing account if your structure has changed — open a ticket and we'll work through the split.
